The Opportunity

The Research Administrator will support and enhance research activities within the Departments of Obstetrics & Gynaecology. This full-time role is integral to the smooth operation and continued success of research initiatives across Dalhousie University, IWK Health, and Nova Scotia Health.

 

This is a versatile position that involves strategic coordination, staff supervision, project management, and hands-on support. The ideal candidate will thrive in a fast-paced, collaborative environment and bring a proactive, solutions-focused approach to managing diverse responsibilities.

 

Responsibilities include but are not limited to: 

 

  • Monitor research budgets and financials; oversee payroll processes across institutions (IWK, NSH).
  • Assist in review and completion of research contracts for studies coordinated in other centres.
  • Recruit, train, supervise, and support research staff, assistants, students, and volunteers, including completing the onboarding process.
  • Assist in hiring processes—draft postings, screen candidates, conduct interviews, and prepare offers.
  • Maintain regulatory and ethics documentation; draft REB applications, SOPs, and consent forms.
  • Provide backup for clinical trial recruitment.
  • Maintain personal compliance with all applicable research regulations and ensure that all staff remain in full regulatory compliance.
  • Provide administrative support to the Obstetrics and Gynaecology Research Director and Committee.
  • Serve as a liaison between researchers, research services, and external partners.
  • Support faculty in submitting grants, publications, posters, and maintaining research profiles.
  • Track and report on departmental research metrics.
  • Coordinate the tracking of resident scholarly progress and ensure clear communication between the Resident Scholarly Projects Director, residents, and faculty supervisors.
  • Curate and regularly update a comprehensive list of faculty-led research opportunities, and actively support the matching of trainees—such as residents, RIM students, undergraduate summer students, and graduate students—with appropriate faculty mentors.
  • Coordinate and manage all aspects of major research events, such as the Academic Skills Course and annual Research Day, from logistics to execution.
  • Maintain departmental research intranet pages and facilitate access to research resources.
  • Manage research space and training compliance and support the Neuroendocrine Reproduction Unit.

7.5 hours per shift

Your Qualifications

  • Master’s or other Graduate degree in Business or Public Administration (or a related field);  applicants with an undergraduate degree and over five years of relevant experience will also be considered
  • Minimum 5 years’ experience in research administration or a related role—preferably in healthcare or academic settings.
  • Demonstrated leadership and supervisory experience.
  • Proficient in MS Office Suite; knowledge of MS Teams, Zoom, and REDCap is an asset.
  • Experience in basic bookkeeping essential.
  • Demonstrated excellence in organization, multitasking, and time management, with a strong commitment to responding promptly and effectively to inquiries and requests.
  • Strong attention to detail and interpersonal communication skills.
  • Self-starter with the ability to work independently and manage multiple priorities.
